Reference Checks

The Reference Check feature allows hiring manages to request, manage and collect references for candidates, all through Occy.

There are number of functions within this feature which help to simplify and streamline your reference check process:


  • Reference Check Administration: The hiring manage can administer checks by selecting the reference check type and category for each candidate.
  • Question Profile: We will create your questionnaire, based on the questions you provide us, in the 3rd party reference check software we use RefNow.
  • Reference Check Requests: The system will notify the hiring manager when a candidate is requested for a reference check and the request shows the job position and the number of references requested.
  • Timeline: The timeline provides a chronological view of the candidate's application process, such as when a reference check was sent or when a reference is given, etc.
  • Number of References: The hiring manager is able to select the number of references to be checked for each candidate.
  • Reminder: You are able to set a reminder email to be sent to candidates, ensuring reference checks are completed in a timely manner.
  • Bulk Select: Occy allows you to select multiple items at once, making it easy to manage multiple reference checks at the same time.


Please note: This is a paid for service, and is 1 occy credit per check.


Reference checks can be administered manually or automatically. The below steps show how to manually administer a reference check. For further information on how to do this automatically, follow Hiring Workflow Automations.



How to Administer a Reference Check


Open the relevant job and click on the candidate application you need to reference check.

  • If you need to request references from multiple candidates, use the bulk actions icon this will allow you to then select multiple candidate applications.
  • Once the candidates are selected, click the Administer Checks icon.
  • If you are administering reference checks in bulk, skip step 2 and proceed from step 3.



Click on the three-dot menu towards the top right of the window and select Administer Checks.



A window will open. Select Reference check and click Next.



Select the question profile you wish to use and the number of references to request. Once done, click Submit.


You are able to view the progress of the reference check on the candidate information page, the status will show as Completed, once all referees have submitted their references


Below outlines the process the candidate and referees will follow:

  1. The candidate will receive an email from RefNow, requesting the reference check.
  2. Once the candidate clicks Complete Referee Details, they will be taken to a page to enter the relevant referee details.
  3. Once complete, the referee will receive an email from RefNow, requesting a reference for the candidate.
  4. The referee will click enter the reference details and select Complete Reference to finish.
