The User Management Section lists all active and pending users and provides a central point for users to add, edit, and delete team members, as well as transfer responsibilities from one user to another.
Accessing the User Management Section
Find the User Management section by choosing Settings from the main menu, then Company, and finally, User Management.
Search, View, and Download Options
In the User Management section, team members are organised into Active and Pending tabs. Active users have accepted the invitation to join occy and have an active account; pending users have been sent an invitation to join occy and will move to the Active tab once they accept and create a password.
Easily find specific users using the search bar.
At the top right-hand side of the section, the following functions are available:
- Filter the user list by role or permission type.
- Sort the user list by oldest to newest or newest to oldest.
- Use the column modifier button to choose what information is shown.
- Use the download button to download a CSV file containing the information shown on the page.
Adding New Users
Once you have been onboarded onto occy, the account owner and admin users will have the ability to add standard and child (subsidiary) account users to your occy platform.
Standard users will have a permission group assigned to them, depicting what they can/cannot do. For further information on the permission groups, follow Roles and Permissions.
Child account users will only be able to view the dashboard of the parent account and no further data. They can then be given the relevant role and permission group within the child account. Further information on Child accounts can be found here: Subsidiaries.
Add new users using the Add New button at the top of the page.
- An Invite Members form will show, where you will input the name, email address and account type of the new user. If you are adding a Standard User (someone using the standard or parent account), you will be asked to choose a permission group for the user (e.g. Admin, Recruiter, Hiring Manager, etc.). If you are adding a Child Account user, the user will need to be added to the company and assigned permissions; full instructions can be found here.
- Once you have completed the form, click Send Invite, and the user will receive an email with instructions on how to activate their account.
The Pending tab contains users who have not yet accepted the invitation to join occy.
Resend the invite using the button next to each user, or edit the user's details using the three-dot menu.
Bulk Actions - Adding Users to a Subsidiary Company
Add multiple users to a child account using the bulk actions function.
- Simply select the users with the tick box next to their name, and a bulk actions bar will appear.
- Next, click the plus button in the bulk actions bar.
- Then, select the child company from the second dropdown menu and choose a role for the users.
- Finally, click Add.
The Actions Column
The three-dot menu next to each active user houses the following options:
- Edit the user's details.
- Delete the user.
- Permanently transfer the user's responsibilities to another user. See the full process here.
- Add the user to a connected company. The process follows similar steps to the bulk actions process above.
