In occy, you can manually add candidates to your candidate pool or a specific job. Candidates can be added individually or in bulk, but for both methods, you will need to upload the candidate's CV. This article shows the step-by-step process for each.
Note: Candidates who are manually added to the system will receive a GDPR notification email informing them that their data has been stored in the Occy ATS. In this context, occy acts as the data processor, while the hiring company remains the data controller.
Adding a Single Candidate to a Job
- Navigate to the Jobs section from the main menu, and click on the job that you would like to upload the candidate to.
- Next, click the Add Candidates button on the right-hand side of the Candidates tab.
- A new window will open into the Add Manually tab.
- Drag and drop the candidate's CV into the CV box, or click the box to browse and add files from your device.
- Next, add the candidate's basic information, including their name, email, and phone number. There are also additional, optional fields for the candidate's address.
- In the Source section, choose a candidate source, for example, employee referral. Candidate sources can be created and stored in your Settings area.
- Next, upload a cover letter if applicable.
- To add an additional candidate without using the bulk upload section, click the +Another Candidate button at the top of the window in the column on the left-hand side.
- Once done, scroll down and click Add.
Adding Multiple Candidates to a Job
- Navigate to the Jobs section from the main menu, and click on the job that you would like to upload the candidate to.
- Next, click the Add Candidates button on the right-hand side of the Candidates tab.
- In the window, select the Bulk Upload tab.
- Drag and drop the candidates' CVs into the CV box, or click the box to browse and add files from your device.
- In the Source section, choose a candidate source, for example, employee referral. Candidate sources can be created and stored in your Settings area.
CVs will be added to a queue to upload in the background and will show in the job once processed; the upload speed will depend on the number of candidates you upload.
- Click Add to confirm the upload.
Adding Candidates to the Candidate Section
You can also add candidates in the main Candidates section; this allows you to add to your candidate pool without assigning the candidates to a specific job. The process is the same as mentioned above, where you can add candidates individually or in bulk.
- Navigate to the Candidates section from the main menu.
- Click the +Add New Candidates button.
- Follow the steps above to add candidates manually or in bulk. You can choose to add the candidate(s) to a job at the point of uploading, but this field is optional and can be skipped to add candidates to jobs at a later date.
Note: The candidate source will be recorded but will not appear in the candidate profile until the candidate is assigned to a job.
- Finally, click Add.
Assigning Candidates to Jobs from the Candidate Section
- Navigate to the Candidates section from the main menu and click on the candidate that you would like to assign to a job.
- Click the plus icon at the top of the candidate's profile.
- Next, select a job from the dropdown menu.
- Then, choose a location from the dropdown menu.
- Finally, click Save.
