Keep track of why each candidate is declined for a role using reasons for rejection.
When declining a candidate, you will choose a reason for declining. First of all, you will need to create your reasons for rejection within your Job Settings area.
What's more, you can use occy AI to create personalised email and SMS messages to use if you choose to notify candidates when declining their application.
Creating Reasons for Rejection
Create a library of reasons for rejecting a candidate to be used by the whole team across all recruitment campaigns.
Reasons for rejection can be viewed, added, edited and deleted from the Reasons for Rejection section; find it by following these steps:
- Select Settings from the main menu
- Next, choose Job Settings
- Finally, click Reasons for Rejection
Here, you will see any previously created reasons for rejection.
Click the Add Reason button to add another.
Next, simply type the reason in the box and click Save. To add multiple reasons at once, click the Add Another button, and an additional box will appear to add the next reason.
Reasons can be edited and deleted using the pencil and bin icons.
Using Reasons for Rejection
Reasons for rejection are applied when declining a candidate, which can be actioned in three ways: from the candidate tile in the Candidates tab of a job, from the candidate profile, and using an automation.
- From the Candidates section of a job - when hovering over the candidate, the decline button will appear.
- From the candidate profile by clicking the decline button at the top of the section.
- Using the Disqualify Candidate action when adding an event to a stage within the workflow section of a job.
- After declining a candidate, a window will appear where you can choose your rejection reason from a dropdown menu. Reasons can be added by clicking the Manage Reasons button.
- Next, choose whether to notify the candidate. If you do not want to notify the candidate, simply leave the Notify Candidate box unticked and click Done.
If you choose to notify the candidate, extra options will appear, as shown below.
- Choose whether to notify the candidate via email, SMS, or both.
- Next, choose an email or SMS template or write a message in the textbox.
- Finally, click Done to send the communication and finalise the process.
Declined candidates appear in the Declined tab of the Candidates tab within a job. The reason for rejection will be listed under the candidate's name.

Creating A Candidate Rejection SMS or Email with occy AI
When declining a candidate from the Kanban section of a job, you are given the option to notify the candidate via email, SMS, or both.
- Select Notify Candidate after choosing to decline them.
- Choose whether to use email, SMS, or both.
- Click Ask occy AI to generate messages related to the selected reason for rejection.
- Once the message is generated, you can click Retry to view further examples and scroll through the options using the arrows.
- Click Accept to use a message.
- Click Done to decline the candidate and send the message.
Note: SMS texts are limited to 160 characters, and messages exceeding this will incur an additional charge. Please check the character count for SMS messages when accepting them, as they may exceed this count.
