The Tasks section allows users to review and action pending tasks, all from one place. Tasks include accepting or rejecting hiring plans and upcoming scheduled candidate interviews.

The Tasks section can be accessed by choosing Settings from the main menu, then My Account and Tasks.

My Tasks
The Tasks section will open in the My Tasks tab.
- Jobs which have already been reviewed and actioned will display an Approved or Rejected label.
- Approve or reject jobs using the dropdown menu next to each job.
- Upcoming scheduled interviews will display the interview details, including date, time, and location.
- Click the View Details button to see the full details of the job or interview.
To permanently transfer tasks and responsibilities to another member of the team when a user changes roles, utilise our transfer responsibilities function.
Assigned Tasks
When scheduling out-of-office time in occy, users can select a delegate to complete their tasks for them in their absence to ensure there is no interruption to recruitment plans. To learn more about the Out of Office feature, click here.
The Assigned to Me tab houses all tasks that need to be completed on behalf of another user. Here, you will see the user that tasks are being completed on behalf of, along with a list of tasks in the same format as the ones in the My Tasks tab.
Tasks can be completed in the same way, but occy will flag any upcoming scheduled interviews that conflict with an interview booked in your calendar.
- If the out-of-office user's scheduled interview is conflicting with one of your own, you can cancel it using the dropdown menu next to the interview. The candidate will receive a standard meeting cancellation notification and an email explaining that the interview has been cancelled and that it will be rescheduled at a later date.
Note: Interview cancellations are final and cannot be reversed.
- To reschedule an interview, select Reschedule from the dropdown menu.
- Next, enter the updated interview details. Remember to select whether to send a specific slot or slots for the candidate to choose from. This form is the same as the one used to manually invite candidates to interview from the candidate profile.
- Finally, select an email template or add text to the message body section and click Done.
Note: Remember, in order for the candidate to be able to select and confirm an interview slot, the INTERVIEW_INVITE shortcode must be included in the email text.
Rescheduled interviews will display a Rescheduled label.
